Diwave Sales · selling in the chat

An order comes in at night — by morning the invoice is ready

A bot in the messenger your customers already use — WhatsApp, Viber or Telegram — carries every order to dispatch: it collects the product, company details and delivery address, the customer confirms their own data, and the system issues the invoice, contract, delivery note and waybill, then reminds about payment. Your manager only checks and approves.

Where messenger sales get lost

Your customers already write on WhatsApp, Viber or Telegram. The problem is not the channel but what happens after the message.

Orders arrive while your manager sleeps

A customer writes at 2 a.m., gets an answer at 11 — and has asked two competitors in between.

Details get retyped by hand

Company name, registration number, ID, delivery address — copied from photos and messages into the invoice, then the contract, then the delivery note. One wrong field ends up in a signed document.

Payments and shipments live in someone’s head

Who has paid, who needs a reminder, which waybill belongs to which order — one person knows. When they are on holiday, sales stop.

How it works — three steps

  1. 01

The customer writes in their messenger

On WhatsApp, Viber or Telegram — wherever they prefer. The bot runs the conversation: product, quantity, payment terms, company details. For Ukrainian companies the details are pulled from the state register by code; a returning customer’s come from their previous order.

  2. 02

The customer confirms their own data

AI reads the photographed ID or register extract, and the customer sees the extracted fields and confirms them — before they reach the contract. A correction costs one message, not a re-signed document.

  3. 03

Your manager checks — the paperwork is ready

In the admin panel the order is already assembled. One action produces the invoice, contract, delivery note and carrier waybill. Then the system tracks payment and reminds the customer on schedule.

What the system already does

Not a mock-up or a roadmap — this runs in production every day. The list is checked against the code.

Messenger bot

  • Order flow from the first message to confirmation
  • Company details pulled automatically from the Ukrainian state register
  • Document photos: AI checks quality and reads the fields, the customer confirms
  • Nova Poshta branch selection right in the chat
  • On WhatsApp, messages outside the 24-hour window are queued or sent as an approved template
  • WhatsApp via the official Cloud API; Viber and Telegram connected during setup

Admin panel

  • Orders, customers, chats, tasks, products, stock with reservations
  • Roles: manager, accountant, lawyer, logistics, director — plus your own; permissions per section
  • Sign-in with password or Face ID / Touch ID (passkey)
  • Analytics and margin with CSV, PDF and XLSX export
  • Works from a phone like an app

Documents

  • Invoice, contract, delivery note, acceptance act, specification, reconciliation statement, quote
  • Automatic numbering and a delivery-note register with XLSX, CSV and XML export
  • Ukrainian tax invoice in XML and export to 1C / BAS
  • Your own Word templates — the system fills them in
  • A single print-ready PDF bundle

Payment and delivery

  • Payment reminders on days 3, 7, 14 and 21, weekdays only — switched on in settings
  • Part payments, advances, deferred terms with due-date reminders
  • The customer says “paid” or sends a screenshot — the accountant gets a check request
  • Nova Poshta waybills: create, print, hourly status tracking

Data and reliability

  • A dedicated server and database per client
  • Nightly backup of the database and documents, kept for 14 days
  • Action and access log, lock-out on anomalies
  • Monitoring every 2 minutes

On the roadmap

Quarters are indicative: the order depends on what clients ask for first. These are not promised dates.

≈ Q1 2027
Automatic payment matching against the bank statement. Today the accountant confirms payment in the admin panel.
≈ Q1 2027
Ready-made language packs for the bot. Today the bot speaks Ukrainian; other languages are added during setup.
≈ Q2 2027
Electronic signing of documents. Invoices and contracts signed without printing.

Frequently asked questions

Where is my customers’ data stored?

On a dedicated server with its own database — one client’s data never mixes with another’s. Access is role-based, every action is logged, and a backup runs nightly. Document photos are kept under a configurable retention policy and deleted afterwards. We sign a DPA, and the system can run on your own server on request.

Which messengers does the bot work in?

WhatsApp, Viber, Telegram and other messengers — whichever your customers already use. WhatsApp is connected through the official Cloud API; the Viber and Telegram bot is set up during onboarding. The order flow, documents and admin panel are the same for every channel.

What is the WhatsApp 24-hour window?

After a customer messages you, you can reply with any text for 24 hours. After that, only with pre-approved templates. The system handles this: a message outside the window is queued until the customer writes again, or sent as a template submitted to Meta for approval.

Who pays Meta for the messages?

You do, directly to Meta, from your own WhatsApp Business account. It is not part of the setup or support price: the rate depends on conversation type and country and changes over time, so we do not resell it.

Does the bot close sales on its own?

No, by design. The bot takes the order, collects the data, confirms and reminds. Decisions — price, discount, dispatch — stay with your manager. What disappears is the retyping, not the person.

How long does setup take?

Usually 3–6 weeks, depending on the number of document templates, products and what has to be moved over from existing spreadsheets or a CRM.

Why is support yearly rather than monthly?

Support is paid a year in advance — from €2,400. There are no monthly payments or instalments. The system runs without support too, but then updates, hosting and incident response are on you.
